Use case · Distribution

The customer is waiting for your quote; the competitor is sending theirs

A building materials distributor runs four branches, 12,000 references and around 900 quotes a month. Every trade customer has negotiated terms. The rep looks them up in a binder, recalculates by hand, and sends two days later.

The starting point

The quote is not slow to make, it is slow to find

Prices sit in the ERP, negotiated discounts in a binder, the customer's history in the branch rep's head — and not in their colleague's. When that rep is on leave, the quote waits for their return or goes out at list price, which annoys the customer.

  • Two-day average between enquiry and quote
  • Customer terms known to one person per account
  • Discrepancies between quoted price and invoiced price
  • No visibility on quotes with no answer

What gets deployed

Put the terms on the record, not in someone's memory

  1. 01

The catalogue moves into the CRM

All 12,000 references, their prices and units synchronise from the ERP, which stays the source of truth. The rep builds the quote by searching a reference, not retyping it.

  2. 02

    Customer terms apply themselves

Discounts by product family, payment terms, free delivery thresholds: carried on the customer record, applied to the quote with no intervention. Any rep in any of the four branches produces the right price.

  3. 03

The quote goes out the same day

A branded PDF, sent from the record, signable online. No answer by D+5 and the workflow chases; at D+12 it alerts the rep.

  4. 04

The deposit is one click away

The signed quote carries its deposit payment link. The order goes out when the deposit lands, not when someone checks the bank statement.

FAQ

Frequently asked questions

Does the catalogue have to be re-entered?

No. It synchronises from the ERP through the API: prices, units and availability stay managed where they already are. Metaventus reads them, it does not replace them.

Can we price per customer AND per product family?

Yes, they combine: a family discount, a specific term on one reference, a delivery threshold for that account. The rep can override, with a trace of who decided what.

Is e-invoicing covered?

Yes, through an accredited platform, with issuance in the required format and lifecycle tracking of each invoice.

How do we go from two days to an immediate quote?

The catalogue and customer pricing live in the tool: the salesperson picks the references, the right price applies, the quote goes out with its payment or signature link. Across 900 quotes a month, the two days were not work — they were waiting.

Do the four branches work from the same catalogue?

Yes, one shared catalogue of 12,000 references with pricing that stays specific to each customer. Stock and documents attach to the branch; the customer record stays single.
