Use case · Training
A session at 68% costs as much as a full one
A vocational training provider takes around 1,800 learners a year across 62 sessions. The trainer is paid, the room is booked, the catering is ordered — whether the session is full or two-thirds full. Every empty seat is a straight loss.

The starting point
Between the enquiry and the enrolment, six weeks of silence
The applicant asks for the programme, receives it, then has to convince an employer, put together a funding application and find two days in a diary. Meanwhile nobody calls back — not out of negligence, but because the list of enquiries lives in a spreadsheet nobody opens on a Friday.
- 68% average fill rate, i.e. ≈ 570 empty seats a year
- Enquiries never followed up after the programme is sent
- Last-minute cancellations never reallocated
- Joining instructions and reminders sent by hand, session by session
What gets deployed
The fill rate is won in the six weeks of silence
- 01
A session is an object, with its capacity
Dates, venue, trainer, capacity, enrolments. Online enrolment stops itself at capacity and switches to the waiting list. No more overbooking discovered the day before.
- 02
The enquiry starts a sequence
Programme the same day, then funding options at D+4, an invitation to speak with the trainer at D+12, a last call at D+25 before enrolments close. That is where the intake is won.
- 03
A cancellation benefits someone
A cancellation automatically offers the seat to applicants on the waiting list for the same session. First to answer takes it.
- 04
Joining instructions send themselves
Confirmation on enrolment, reminders at D-7 and D-1, a satisfaction survey at D+2, news of upcoming sessions at D+90. None sent by hand.

Frequently asked questions
Do you cover training quality certification?
We provide the traceability of the relationship — enquiries, follow-ups, joining instructions, surveys — which feeds several indicators. We do not replace a certifying training management system, and we do not claim to.
Can you handle funding applications?
The application is modelled as a business object, with its stages and documents. Filing with the funding body stays on their portal.
Do our associate trainers need accounts?
Not necessarily. They receive their assignments and attendee lists by email. Access is opened if they need to record attendance.
How do we improve on 68% occupancy?
A candidate who asked for information is followed up automatically, the session shows its remaining places, and the reminder before the start limits last-minute drop-outs. Across 62 sessions, a few more enrolments per session changes the economics.
Can we run fixed-date sessions rather than slots?
Yes: the appointment type switches to session mode, with its own location, capacity and hours. Enrolments, reminders and the attendance list all live in the same place.
