Use case · Local authority

The founder met in January has heard nothing by March

A chamber of commerce with 12,000 members: business creation, transfer, training, events, drop-in sessions. Thirty advisers, each with their own spreadsheet, and a business that attended a workshop without its adviser knowing.

The starting point

Each department knows its own piece of the business

The business creation team met the founder, the training team signed them up for a workshop, the events team invited them to an evening. Nobody has the overall view, and the three-month follow-up promised in a meeting depends on the adviser's memory.

  • Thirty spreadsheets for one and the same base of businesses
  • Post-creation follow-up depends on the adviser's memory
  • Workshop registrations arrive by email
  • No measurement of what a support programme produces

What we put in place

One business, one record, every department

  1. 01

The business record brings everyone together

Creation, training, events, drop-in sessions: every contact with the business is recorded on its record, whichever department it came from. The adviser sees the workshop attended last week.

  2. 02

Support is tracked in a pipeline

First meeting, assessment, action plan, three-month follow-up, closure: every support programme moves from stage to stage, with a task for the adviser at each step.

  3. 03

Workshops and training are booked online

Each session has its page, its capacity and its SMS reminder. Registration creates the attendance on the record, and the sign-in sheet is generated.

  4. 04

Follow-ups no longer depend on memory

The three-month follow-up is a task created automatically when the action plan is closed; a business that has been silent for six months shows up in a list.

FAQ

Frequently asked questions

How do we import the 12,000 businesses?

By CSV or from the existing register, deduplicated on the SIREN number. The records then hold the directors, the contacts and the history.

Can each department have its own fields?

Yes: a business creation programme does not have the same stages as a transfer. Each type is an object with its own fields and its own pipeline.

Do advisers have to re-enter everything?

No. A call is transcribed and summarised on the record, an email files itself there, an online registration creates the attendance.

Can we measure the effect of the support programmes?

The pipeline gives the volumes by stage and by adviser; the business properties — headcount, declared revenue — make it possible to track changes over time.

Coming from somewhere else? The migration is gentle

Contacts, companies, opportunities, tasks, segments and email templates come across from Brevo, HubSpot or an export. Keep your old tool as long as you need: nothing forces a big-bang switch, and nothing is deleted on your side.
