One proposal in three is never followed up

A 22-consultant firm issues around 45 proposals a month. The consultant who wrote it is on another engagement three days later. Following up depends on their memory, and their memory is busy elsewhere.

The starting point

What is missing is not a salesperson, it is a reminder

The proposals are good, the consultants are able, the clients come back. What is lost is lost in silence: a proposal sent on a Thursday, a client who meant to read it on Monday, and nobody left to raise it again. Three weeks later it has become awkward to chase.

  • ≈ 1 proposal in 3 with no follow-up at all
  • Six exchanges on average to fix a meeting
  • Invoices typed by hand from the proposal, with discrepancies
  • 54 days to payment, with no systematic chasing

What gets deployed

Hand the workflow what needs no judgement

  1. 01

The proposal lives on the client record

Firm template, fees, terms: the proposal is generated as a PDF and sent from the record, with online signature. The consultant never leaves the file.

  2. 02

Follow-up goes out without a decision

No answer by D+7, a short message. At D+15, a second, then control returns to the consultant with the context. Chasing is no longer a decision to make, so it is no longer a decision to avoid.

  3. 03

    Meetings book themselves

Each consultant has a booking page with real availability and real durations. The six emails to find a slot disappear.

  4. 04

    The invoice follows the signature

The signed proposal becomes the order, then the invoice, with no copying. Overdue invoices are chased at D+3 and D+15, with the payment link inside.

FAQ

Frequently asked questions

Won't automatic chasing annoy our clients?

Two short, spaced messages that stop as soon as the client replies or opens the proposal. Less intrusive than a phone call, and infinitely less than three weeks of silence. Sequences can be switched off per client.

Do you handle time spent per engagement?

Invoices accept time-based lines, but we do not replace a detailed time-tracking tool. If that is your core, keep it and connect it through the API.

Can we separate by partner or practice?

Yes, by workspace: each team sees its scope, partners see everything.

What effect does this have on collection times?

A proposal that is chased automatically gets decided sooner, the invoice goes out on signature, and the unpaid reminder follows. Three delays that used to stack up each shrink — no single spectacular gain.

Can we track conversion by consultant?

Yes: proposals issued, accepted, refused with the reason, and revenue by owner. The refusal reason is captured at closing, which makes the statistic usable instead of being a bare counter.
