Use case · Retail

One request in three never reaches the store concerned

A network of 34 stores receives around 900 requests a month — quotes, stock enquiries, in-store appointments. They land on the national site, on local pages, on the phone. Head office redistributes them by hand, a day or two later.

The starting point

The redistribution delay is the real competitor

A quote request handled two days after it was submitted arrives after the competitor's. Head office does what it can: it sorts, it forwards, it chases. But every manual step adds hours, and nobody knows how many requests are lost on the way or which ones turned into sales.

  • 24 to 48 h between the request and the store
  • No visibility on what happens to a forwarded request
  • No way to say which channel actually pays
  • Every store improvises its own follow-ups

What gets deployed

Route at the source, measure to the end

  1. 01

    One number, routing by area

Callers dial a single number; the switchboard routes to the store for their area, overflowing to the neighbouring store and then to head office. Nobody falls into the void.

  2. 02

    The form assigns by itself

The postcode determines the store. The request lands there directly, with a notification, without passing through head office.

  3. 03

The source follows through to the sale

Every campaign link is tagged, every request carries its source. You finally know which channel, which campaign and which store produced the revenue.

  4. 04

    Local campaigns, steered nationally

Head office prepares the template, each store sends it to its own base with its address and opening hours. The brand stays consistent, the local touch stays real.

FAQ

Frequently asked questions

Can each store see the others' data?

No. Separation is by workspace: a store sees only its own contacts and requests, head office sees everything and compares.

What if a store does not respond?

The workflow chases, then escalates to the regional manager after the delay you set. An unanswered request is an incident, not a fact of life.

Can stores keep their existing phone numbers?

Yes, they can be ported. The single number is added as a national entry point without removing local lines.

How does a request find the right store?

By the requester's postcode, by the store chosen on the form, or by the number dialled. Across 34 outlets, that is what stops a request sitting in a generic mailbox nobody empties.

Does head office see what the stores do?

Head office gets the consolidated view — volumes, response times, pick-up rates per outlet — without stores seeing each other's data. Network oversight without detail-level surveillance.
