The client's call always lands during the hearing
A firm of nine lawyers in business and employment law takes around 40 calls a day. Two assistants answer. Sixty-three per cent of calls arrive between 9am and noon — that is, during hearings, when the lawyer concerned is precisely unreachable and the assistant can only take a note.

The starting point
A firm does not lose clients, it loses hours
The assistant notes "Mr Durand called, call back". The lawyer leaves the hearing at 12:30, calls, reaches voicemail, leaves a message. The client calls back the next morning, during the next hearing. Three calls and two days to say "the hearing is moved to the 14th" — information known since the day before.
- Calls concentrated on hearing hours
- The message written on a sticky note, unlinked to the file
- The client calls back because there is no other way to know
- Fees chased when someone thinks of it, which is late
What gets deployed
Answer what does not need the lawyer
- 01
Reception holds during the hearing
The switchboard answers, recognises the number, shows the file. Outside the hours when someone can take it, the voice agent qualifies the request — new matter, open file, billing question — and creates the task in the right file. What it cannot handle it passes on, with the transcript.
- 02
The file is an object, not a folder
Type, jurisdiction, parties, deadlines, agreed fees, diligences. Modelled with your fields. That is what lets a deadline trigger something instead of sitting in a diary.
- 03
The client is informed without calling
Hearing postponed, submissions filed, document received: a short automatic message at each step you choose to share. That is what brings calls down — not an instruction to stop answering.
- 04
Fees chase themselves
Unpaid retainer at D+15, overdue invoice at D+8 then D+30: the workflow chases, with the payment link. The lawyer does not have to talk about money with their client, which none of them enjoys.

Frequently asked questions
Can the voice agent hear privileged information?
It qualifies — new matter, open file, billing — and asks nothing about substance. Transcription and recording can be switched on or off, with a retention period you set. You can also limit it to taking a message, with no audio kept at all.
Does every lawyer see every file?
No, unless you decide so. Assignment per file determines access, and views are logged.
Do you replace our practice management software?
No. Accounting, client account handling, drafting and precedent templates stay with you. We take reception, the client relationship and chasing, and the two talk through the API.
What happens during a hearing?
The voice agent answers, identifies the caller, handles information questions and offers a callback or an appointment. Out of 40 calls a day, 63% of which landed during a hearing, that is a lot of cases that no longer go to a competitor.
What does this cost for a nine-lawyer practice?
The Professional plan starts at €90 per month for the account, and capacity is adjusted by tier for the eleven users. Telephony starts at €50 per month and the voice agent is a €9 option.
