The swimming lesson is full, and two lanes are empty
Six facilities, 1,400 weekly slots, children's classes snapped up in September and half-empty aqua fitness slots in January. Registrations happen at the front desk, absences are not notified, and the waiting list lives in a notebook.

The starting point
The capacity is there, the flow of information is not
A class that is full in September has free places in November, but the waiting list is never called back. One user in five does not turn up to aqua fitness, and nobody benefits from their place. Associations book the sports halls by email, and the schedule is kept in a spreadsheet.
- 22% absences on classes, with no reminder
- The waiting list is not called when a place frees up
- Association bookings come in by email
- Payment happens at the front desk, during front desk hours
What we put in place
Put the schedule online, and let it fill up
- 01
Every facility has its booking page
Public slots, group classes, halls for associations: each type has its duration, its capacity and its price. The user books without an account, the association with its own.
- 02
The reminder offers a choice
SMS 24 hours ahead with a link to cancel. Cancelling becomes easier than not turning up, and the place frees up.
- 03
The waiting list calls itself
When a place frees up, the first person waiting receives an SMS with a link valid for two hours. With no answer, the next one.
- 04
Payment follows the booking
Session, multi-pass or membership: the online payment is collected at booking, and the finance office finds it in its export.

Frequently asked questions
Can we book for a whole season?
Yes: a group class is a series of sessions, registration covers the season, and cancellations are made session by session.
Is the front desk still possible?
Yes. The agent books and takes payment from the same schedule; slots reserved for the front desk are configured by type.
Do associations have specific rights?
Each association has its account, its allocated slots and its schedule. It sees what is reserved for it, not the rest.
Is online payment compatible with the municipal finance office?
Payments go through the authority's payment provider, with an export per day and per facility for the finance officer.
